How we send email
SuperDoc sends a small number of account and security emails to the staff of hospitals that use it. We do not send marketing email. This page says exactly what we send, to whom, and how to make it stop.
What we send
Every email from SuperDoc is transactional. It is sent because a person did something in the product and needs the email to finish it.
| Sent when | Sent to | |
|---|---|---|
| Email verification code | Someone registers a hospital and must prove they own the address they typed | The person registering |
| Password reset | A member of staff asks to reset their password on the sign-in page | That member of staff |
| One-time sign-in code | A member of staff must prove they own their mailbox, for example to accept an invitation to join another hospital with the login they already have | That member of staff |
| Email change confirmation | A member of staff changes the email address on their account | That member of staff |
| Hospital approved | Our team approves a hospital's registration and its account is switched on | The hospital's first registered user |
| Security alerts | A security event the hospital has chosen to be told about, such as emergency access to a patient record | The hospital's administrators |
Volumes are low, because nothing is sent unless a person asks for it.
Who receives it
Only people who have a working relationship with a hospital that uses SuperDoc:
- a person who typed their own address into our registration or sign-in page, or
- a member of staff whose work address was entered by their own hospital's administrator in order to give them a login.
A registration cannot proceed until the one-time code we send has been entered, so an address that was mistyped never becomes an account. An invitation to join a second hospital does nothing until the invited person accepts it with a fresh code sent to their own mailbox.
We do not buy, rent, borrow or collect email addresses from anywhere else.
What we never send
- Newsletters, promotions or any other marketing email.
- Email to addresses taken from purchased or shared lists.
- Patient health information in the body of an email.
- A request for your password. We will never ask for it by email.
How to recognise our mail
Account email, the first four rows above, is sent from noreply@superdoc.asia with the sender name SuperDoc. It is digitally signed for superdoc.asia, so your mail provider can verify that it really came from us. Approval and alert notices come from alerts@superdoc.asia.
Those addresses do not receive replies. To reach a person, write to hello@superdoc.asia.
Bounces and complaints
We send through a dedicated, reputable email delivery service. The same rules apply to every message we send.
- Bounces. When an address permanently rejects a message, it is added to a suppression list and we stop sending to it automatically.
- Complaints. When a recipient marks a message as spam, that address is suppressed in the same way.
- Review. Every bounce and every complaint is reported to our team, and we look at each one. If a hospital entered a wrong address for a member of staff, we ask the hospital to correct it.
How to stop receiving mail
Because these are account emails, they stop when the account does.
- If you are a member of staff, your hospital's administrator can remove your login, and the emails stop.
- If you received an email and have no connection to SuperDoc, someone mistyped an address. Write to hello@superdoc.asia and we will block your address within two working days.
Report a problem
To report misuse, or mail that claims to be from SuperDoc and looks wrong, write to hello@superdoc.asia. Please include the full message, with its headers if you can.
